Privacy Policy
This policy explains what information Holarctic collects, why we collect it, how we use and share it, and the choices you have.
EFFECTIVE OCTOBER 12, 2026
1. Who this policy covers
This policy applies to Holarctic (“Holarctic,” “we,” “us” or “our”) and to the information we collect through holarctic.com, our forms, our email and text message communications, and the services we provide to business customers across our divisions.
We provide services to businesses. We are not directed to children, and we do not knowingly collect personal information from anyone under 13.
2. Information we collect
Information you give us
When you submit a form on our site, request a walkthrough, ask to be notified at launch or contact us, we collect the details you enter. That can include:
- Your name
- Your email address
- Your company name and industry
- Your phone or mobile number, where you choose to provide one
- Any message or background you include
- Whether you opted in to receive text messages, and the date, time and IP address of that opt-in
Information collected automatically
Our server records standard request information when you submit a form, including your IP address, browser user agent and the time of the request. We use this to prevent abuse and to keep a record of consent.
Information from our business customers
When a business engages Holarctic, we process data on their behalf through their own systems, such as advertising accounts, phone systems, CRM records and operational data. We act on that customer's instructions, and their own privacy notice governs how that data is collected from the people it describes.
3. How we use information
- To respond to your enquiry, schedule a walkthrough or notify you at launch
- To send you text messages, if and only if you asked us to
- To provide, operate, secure and improve our services
- To prevent spam, fraud and abuse of our forms
- To meet our legal, tax and record-keeping obligations
We do not sell personal information, and we do not use the information you submit through our forms to build advertising profiles.
4. Text messaging and your mobile number
No mobile information will be sold or shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent is not shared with any third parties.
If you tick the text message consent box on one of our forms, you are giving Holarctic permission to send text messages to the mobile number you entered. Ticking that box is always optional, and it is never a condition of contacting us, of receiving a walkthrough, or of buying anything from us.
Message frequency varies. Message and data rates may apply. Reply STOP to unsubscribe or HELP for help. Consent is not a condition of purchase.
We share your mobile number with the messaging providers and telecommunications carriers that are strictly necessary to deliver the messages you asked for. Those providers may only use it to deliver our messages on our behalf.
You can stop messages at any time by replying STOP to any message from us, or by emailing hello@holarctic.com. Reply HELP for help. Full messaging details are in our Terms of Service.
6. How long we keep information
We keep enquiry and consent records for as long as needed to answer you, to run our business and to show that consent was properly obtained, then delete or anonymise them. Consent records are retained for the life of the consent and for a reasonable period afterwards, as messaging regulations expect.
7. Security
We protect information in transit with TLS, restrict access to the people who need it, and store form submissions outside the public web root of our server. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
8. Your choices and rights
- Ask what personal information we hold about you, and request a copy
- Ask us to correct information that is wrong or out of date
- Ask us to delete information we no longer need to keep
- Withdraw text message consent by replying STOP, or email consent by using the unsubscribe link
- Object to or restrict certain processing, where the law gives you that right
Email hello@holarctic.com and we will respond within the time the applicable law allows. We will not discriminate against you for exercising any of these rights.
9. Changes to this policy
If we change this policy we will update the effective date at the top of this page. Where the change is significant we will take reasonable steps to tell you directly.
10. Contact us
